Office Relocation Checklist: How The Office Shop Keeps Your Move on Schedule

Sep 25 2026
Empty office suite ready for furniture layout planning as part of an office relocation checklist

An office move looks simple on a spreadsheet. Then the lease date gets closer, the new floor turns out smaller than expected, half the workstations won’t fit, and the furniture order carries a lead time nobody planned for. A clear office relocation checklist keeps that from happening. It tells you what needs to be decided, ordered and booked at each stage, and who owns each step. This guide walks through the checklist The Office Shop uses with clients across Ontario, and shows how our Moving and Relocation Management team keeps furniture, layouts and installation on one schedule.

The Office Shop has been planning, furnishing and installing commercial offices since 1996 from our showroom at 366 Denison St, Markham, ON L3R 1B9. We work with more than 60 manufacturers, including Global Furniture Group and Groupe Lacasse, and our design, project management and installation teams all work in-house. One team owns your furniture plan, your order and your install, and nobody hands the project off halfway through.

Why Do So Many Office Relocations Run Late and Over Budget?

Most delays start months before the moving truck arrives. They come from decisions made too late, or made by people who didn’t have the full picture. Here is what we see most often when a company calls us after a move has started to slip.

Furniture gets ordered after the clock is already running. Commercial furniture is rarely sitting in a warehouse waiting for you. Many workstation and seating lines take several weeks to produce, and custom finishes or large orders take longer. When the order goes in six weeks before move day, there is no room for a factory delay or a missing part.

Nobody measures the new space against the old furniture. Companies often assume their current workstations will fit the new floor. Then the columns, window mullions and electrical locations tell a different story. Pieces that worked in the old suite end up blocking an exit path or creating a dead corner nobody can use.

The inventory is guesswork. Few offices know exactly how many desks, pedestals, chairs and storage units they own, or what condition each piece is in. Without a real inventory, you can’t plan what moves, what gets sold or donated, and what needs to be bought.

Too many vendors, and no single owner. The landlord’s contractor, the movers, the IT provider, the electrician and the furniture installer all run on their own schedules. When nobody coordinates them, installers show up before the carpet is down, or data cabling lands in the wrong spot for the desks.

Staff find out late. Employees who hear about a move two weeks out don’t pack properly or clear their files. They arrive at a new office where nothing is where they expected, and productivity drops for weeks.

Old furniture becomes a last-minute headache. Most leases require you to return the space empty. Companies that forget about disposal end up paying for rushed removal or storage at the worst possible time.

How Does The Office Shop Approach an Office Relocation Differently?

The Office Shop treats a relocation as a workspace project first and a moving job second. The physical move takes a few days. The planning behind it takes months, and that’s where we do most of our work.

You get one project lead for the full furniture scope. One person at The Office Shop owns your plan, your order, your delivery dates and your installation. When the landlord pushes back a handover date, that person reworks the schedule with the manufacturer and the install crew, so you aren’t chasing five vendors for answers.

We start with the floor plan, before the catalogue. Our space planning and design team maps your new suite with CAD layouts and 3D renderings before anyone talks about product. We test headcount, meeting rooms, storage and walkways against the real dimensions of the space. If you’re still comparing buildings, we can lay out two or three options so you can see which one fits your team. Good office floor plan layout decisions at this stage save money on every step that follows.

We inventory what you already own. Before we recommend buying anything, we walk your current office and record what you have and what shape it’s in. Plenty of furniture can move with you, and some can be rebuilt to suit the new layout. Your budget stays focused on the pieces you actually need.

We order early and watch lead times for you. Because The Office Shop works with more than 60 manufacturers, we know which lines ship quickly and which need extra runway. We place orders against your move date and keep an eye on production, so the final month doesn’t bring surprises.

Our installers work for us. The Office Shop’s installation crew is in-house. They know the products, they’ve worked alongside our designers, and they report to the same project lead you do. Our approach to office furniture installation is built around having workstations ready the morning your staff walk in.

We clear out the old space. Once the move is done, we can handle the pieces you’re leaving behind through office furniture removal, so your old suite goes back to the landlord empty and on time.

The Office Shop’s Office Relocation Checklist, Stage by Stage

This is the office relocation checklist The Office Shop builds with clients. Every move is different, so we adjust the timing to your lease and the size of your team, but the order of decisions rarely changes. A 15-person office can compress this schedule. A multi-floor move for a few hundred staff usually needs more time at the start.

Six months before the move: Set the scope

The first stage is about decisions, not boxes. The sooner these are settled, the more options you keep open.

  • Confirm your move date, lease terms and the landlord’s handover date for the new space.
  • Name an internal move lead who can make decisions quickly and speak for leadership.
  • Set a working budget for new furniture, installation, removal and any temporary needs.
  • Decide how your team will work in the new office: assigned desks, shared desks, or a mix of both.
  • Book a first meeting with The Office Shop to review the new floor plans and your current setup.

At this stage, The Office Shop reviews your drawings, walks your current space and starts the furniture inventory. Many clients book an office furniture consultation before they even sign the lease, so they know the space will actually hold their team.

Four to five months before: Plan the layout and inventory

This is where your office relocation checklist turns into a real plan on paper.

  • Finish the furniture inventory with condition notes for every major piece.
  • Review draft layouts and 3D renderings with department heads.
  • Confirm electrical and data locations with your contractor so they line up with desk positions.
  • Decide which furniture will move, which will be reconfigured and which will be replaced.

If your team now works a hybrid schedule, this is the moment to rethink how many desks you need. Many clients use a move to shift toward flexible, hybrid-friendly furniture and fewer assigned workstations, which can free up room for meeting spaces and quiet areas.

Three months before: Place your orders

Orders placed now give manufacturers a realistic production window.

  • Approve final layouts and furniture specifications.
  • Place new furniture orders with confirmed delivery windows.
  • Arrange temporary or rental furniture if the timeline is tight or your team is growing.
  • Tell staff the move date and what to expect over the coming weeks.

If production can’t meet your date, short-term office furniture rental can bridge the gap until the permanent pieces arrive. Some clients also lower costs by mixing in quality used office furniture for storage rooms, training spaces or secondary offices.

→ Worried your furniture won’t arrive before your lease starts? Ask The Office Shop to review your order timeline and suggest rental or used options that keep you on schedule.

Six to eight weeks before: Coordinate the trades

This stage is about timing. Every trade needs to know when it’s their turn.

  • Confirm the install schedule with the landlord, contractor, IT provider and movers.
  • Walk the new space once walls, flooring and power are in place.
  • Tag any furniture that’s moving with its destination on the new floor plan.
  • Plan disposal, resale or donation for furniture you won’t be taking.

The Office Shop’s project lead joins these coordination calls so furniture delivery lines up with construction. We’d rather move an install date by two days than have a crew waiting on a floor that isn’t ready.

Final two weeks: Prepare people and pieces

The last two weeks decide how your team feels on their first morning in the new space.

  • Send staff packing instructions and a map of the new floor.
  • Clear old files and purge storage you no longer need.
  • Confirm delivery times and building access for the install crew, including elevator and loading dock bookings.

This is also a good point to rethink your office storage solutions, so the new office isn’t filled with boxes nobody opens.

Move week: Install and test

  • The Office Shop installs new furniture and reassembles pieces that moved, ideally before staff arrive.
  • Walk every workstation to check power, data and chair and desk adjustment.
  • Finish reception and meeting rooms so the office looks complete on day one.

First 30 days after the move: Adjust and close out

  • Collect feedback on seating, lighting, noise and storage.
  • Make small layout changes where traffic flow or storage isn’t working.
  • Confirm the old space has been cleared and handed back.

→ Need an office relocation checklist built around your actual lease date? Contact The Office Shop and we’ll map out your move timeline with you.

How The Office Shop Helps You Decide What to Keep, Reconfigure, or Replace

This decision can save or waste more money than any other part of a move. Moving furniture that doesn’t fit costs you twice: once to move it and again to replace it. Replacing everything when half of it is still in good shape uses up budget that could have gone into better chairs or a proper boardroom.

Keep what’s in good condition and fits the plan. Steel storage, quality casegoods and panel systems often have years of life left. If they suit the new layout and still look professional, moving them is usually the smartest spend.

Reconfigure systems furniture when the layout changes. Many panel and benching systems can be taken apart and rebuilt into new shapes, sizes or heights. Our installation and reconfiguration team does this regularly for clients whose headcount or floor shape has changed. Modular office furniture is designed for exactly this kind of move, which is one reason we often recommend it for growing companies.

Replace what’s worn, unsafe or slowing people down. Chairs with broken mechanisms, fixed-height desks that don’t suit your staff and damaged surfaces are worth leaving behind. A move is a natural time to invest in ergonomic office furniture, and our Ergonomic Solutions team can help you choose seating and sit-stand desks that fit how your people actually work.

Consider what the new office says to visitors. Reception and meeting rooms shape the first impression clients and candidates form of your company. Even when most workstations move with you, many clients choose to refresh these client-facing areas.

The Office Shop gives you a clear recommendation for each category, along with the cost of moving, rebuilding or replacing, so leadership can approve the plan with real numbers in front of them.

→ Not sure which of your current furniture is worth moving? Ask The Office Shop for an inventory review before you commit to a new order.

How The Office Shop Keeps Your Team Working Through the Move

A relocation shouldn’t cost you a week of lost work. The Office Shop plans the furniture side of your move around the people who need to keep serving clients.

We schedule installation around your business hours. Where your building allows, we can plan installation for evenings or weekends so staff leave the old office on Friday and sit down at a finished workstation on Monday.

We phase larger moves. For bigger teams, we can move one department at a time. Each group has a working space on both ends of the move, and nobody is left without a desk.

We cover the gaps with temporary furniture. If your new suite is delayed, or you need a project office while construction finishes, our rentals and used products team can furnish temporary space on short notice.

We set the office up to be usable on day one. Our installers adjust chairs, level desks and set up meeting rooms before handover. Staff arrive at a working office rather than a room full of flat-pack cartons.

We help you plan communication with your staff. We’ll share what information your team needs and when, including floor maps and packing guidance, so your internal move lead has less to figure out alone.

→ Can your team afford a week of downtime during the move? Talk to The Office Shop about an installation plan that keeps your office running.

Which Industries and Ontario Locations Does The Office Shop Support for Relocations?

The Office Shop supports office relocations for professional service firms, corporate offices, startups, coworking spaces, real estate firms and construction companies. For corporate and professional teams, our commercial office furniture work covers workstations, private offices, boardrooms and reception areas.

Healthcare clinics face a tougher version of the same problem, because patients still need to be seen during the move. Our healthcare furniture team plans waiting rooms, exam spaces and staff areas so clinics can reopen quickly. Educational institutions often need to move between terms, and we schedule their projects around the academic calendar.

The Office Shop manages relocations across Ontario, including Toronto, Markham, North York, Ottawa and London. We also work with businesses in Mississauga, Oakville, Vaughan, Brampton, Burlington, Newmarket, Bolton, Barrie, Kitchener/Waterloo and Sudbury, as well as multi-location clients moving several offices at once.

Other Office Shop Services That Support Your Relocation

A move often raises bigger questions about how your workplace should function. The Office Shop offers several services that fit naturally alongside a relocation.

Office furniture consulting. Our office furniture consulting team helps you weigh product options, compare manufacturers and match furniture to your budget before any order is placed.

Ergonomic assessments and products. A new office is a chance to fix discomfort that’s been building for years, with seating and desks chosen around how your staff sit and work.

Rentals and used furniture. Temporary furniture keeps your team working during delays, and quality used pieces stretch your budget in secondary spaces.

Reconfiguration after the move. Offices keep changing after move day. When your team grows or shifts to a new working style, The Office Shop can rework the layout you already have.

Office Relocation Checklist: FAQs

How early should I contact The Office Shop before an office relocation?

Ideally, contact The Office Shop about six months before your move date, or before you sign a lease if you can. That gives us time to test the space, complete your inventory and place orders with enough production time. We also help clients with shorter timelines, often by using rental or in-stock furniture to fill gaps.

What does The Office Shop include in its moving and relocation management service?

The Office Shop’s relocation service covers the furniture side of your move under one project lead. That includes space planning, furniture inventory, keep or replace recommendations, ordering, delivery coordination, installation, reconfiguration and removal of furniture you’re leaving behind. We also coordinate schedules with your landlord, contractor and other trades.

Can The Office Shop reuse or reconfigure the furniture we already own?

Yes. The Office Shop inventories your current furniture and recommends what can move as is, what can be rebuilt for the new layout and what should be replaced. Many panel, benching and modular systems can be reconfigured, which often lowers the cost of a relocation significantly.

Does The Office Shop install furniture after hours or on weekends?

The Office Shop plans installation around your business and your building’s rules. Where the building allows, that can include evenings or weekends, so your staff can leave the old office at the end of one week and start the next in a finished space. Your project lead will confirm options once we know your building’s access requirements.

What happens to our old furniture when The Office Shop manages our move?

The Office Shop can remove the furniture you aren’t taking, so your old suite is returned to the landlord empty and on schedule. We plan removal as part of your office relocation checklist from the start, rather than treating it as a last-minute task.

Can The Office Shop provide temporary furniture if our new office isn’t ready?

Yes. The Office Shop offers rental furniture for project offices, short-term leases and relocation delays. If your new space isn’t ready or your permanent furniture is still in production, rentals keep your team working until everything is in place.

Which Ontario cities does The Office Shop serve for office relocations?

The Office Shop is based in Markham and supports relocations across Ontario, including Toronto, North York, Ottawa, London, Mississauga, Vaughan, Brampton, Oakville, Burlington, Newmarket, Bolton, Barrie, Kitchener/Waterloo and Sudbury. We also manage projects for companies moving several offices at the same time.

How does The Office Shop keep an office relocation on budget?

The Office Shop controls cost by reusing furniture wherever it makes sense, ordering early to avoid rush charges and choosing from more than 60 manufacturers to match your budget. Used and rental options can reduce spending further in secondary spaces. You get clear pricing for each decision before anything is ordered.
